Customer Service Administrator - Frankfurt, Germany

Church & Dwight GmbH, based in Frankfurt am Main. is looking for a Customer Service Administrator.

We are part of a successful $4bn organisation with our Headquarters in New Jersey. This is an exciting time to join our newly opened European subsidiary which only started trading in January 2018.  In Germany we are responsible for selling and marketing selected Church & Dwight brands within the German market with ambitious plans to grow over the forthcoming years.

The Customer Service Administrator will work closely with the Key Account Managers to provide excellent customer service to German and Austrian retailers / distributors.

Key responsibilities include:

  • Provide the business with daily sales transactions (Daily Sales, Lost Sales, Stock reports, open order report, Back order report, returns report) and liaise with Supply Chain / CPL for global reporting, highlighting any stock issues or lost sales that have occurred.
  • Liaising with Supply Planning to ensure that the stock needed for orders is available at the right time
  • Ensure effective communication on special requirements including short lead time orders and stock issues with CPL to ensure orders are picked in a timely and efficient fashion.
  • Liaise with customers on queries relating to order status, delivery dates, invoicing and delivery queries - working with CPL.
  • Assisting co-ordination of the German sales forecast between German KAM Managers / Marketing and the Demand Planning Manager based in the UK.
  • Verify orders against forecast, lead-time, minimum order quantities, palletisation compliance, and stock availability. Communicate any supply issues with Supply Chain.
  • Supporting CPL in providing a good customer service.
  • Any additional adhoc reporting as requested.
  • Receive data for new accounts and co-ordinating customer account creation and master data requirements (e.g. price lists, packing, etc).
  • Creation / Maintenance of Product / SKU Specification Sheets.
  • Support CPL in investigating and issuing credits and debits.
  • SAP procedures: Sales Order entry, Invoicing, Credits and debits (outside CPL main processes).

The ideal candidate will:

  • Have knowledge of data entry into mainframe computerised business systems.
  • SAP experience is an advantage.
  • Knowledge of the sales process and shipping documentation would be an advantage.
  • Be numerate, confident and accurate with figures, with a strong attention to detail.
  • Have excellent communication and presentation skills.
  • Have good knowledge of MS office programs, especially Outlook, Word and Excel
  • Possess excellent interpersonal skills, in both written and verbal communication; capability to relay information effectively externally to global customers and internally to colleagues at all levels of the business.
  • EDI / Vmi experience is an advantage
  • German and English fluency is essential
